Confirm access and the turnover window

Record the departure time, next arrival time, access instructions, parking details, and the person who can answer a property question during the turnover. Include gate codes, elevator rules, or building restrictions that affect arrival. A realistic cleaning window is part of the scope, especially when laundry or restocking is included.

Define rooms and high-priority areas

List the bedroom and bathroom count, kitchen needs, outdoor areas, and high-touch surfaces. Call out anything that must be completed first or checked twice. Recent photos can explain unusual conditions before the service date and help the provider determine whether the requested work fits the available time.

Clarify linen and supply expectations

Identify who provides linens, where clean sets are stored, whether laundry is part of the scope, and which guest supplies should be checked or restocked. Note where replacement items belong and what to do when something is low. Exact inclusions should be confirmed with the provider before the turnover.

Share property-specific instructions

Note delicate surfaces, locked storage, appliance instructions, trash procedures, pet considerations, and any owner-approved checklist that must be followed. Keep the directions in one accessible place. A concise property guide is easier to use during a busy turnover than scattered messages from several people.

Define the final ready check

Decide what needs to be confirmed at handoff, who receives the update, and what happens if the property condition differs from the agreed scope. Photos of completed priority areas may be useful when they are part of the arrangement. The goal is a clear finish, not a vague promise that everything looks fine.
